Duties

Pacific Union College seeks a detail-oriented, service-minded Assistant Registrar to join the Office of the Registrar. This position supports academic operations by coordinating degree audits and graduation processes, managing athletic eligibility compliance as the NAIA Liaison, and assisting with transcript evaluation, enrollment reporting, and policy implementation. The Assistant Registrar works collaboratively with faculty, staff, students, and external agencies to ensure academic integrity and operational excellence.

Essential Functions

Graduation Analyst
  • Conduct formal degree audits for undergraduate and graduate students, ensuring alignment with institutional and programmatic requirements.
  • Track student progress toward graduation; proactively notify students and advisors of outstanding requirements.
  • Manage the graduation application process, including the review of all candidates for degree conferral.
  • Coordinate with Academic Advising and department chairs to resolve discrepancies or course substitutions.
  • Support Commencement planning by preparing graduate lists, diplomas, and related academic documentation.
  • Serve as the institutional liaison to the National Association of Intercollegiate Athletics (NAIA).
  • Collaborate with the Athletics Department to verify student-athlete academic eligibility according to NAIA and institutional standards.
  • Submit required documentation to the NAIA Eligibility Center and ensure compliance with all reporting timelines.
  • Maintain accurate records of athletic participation, eligibility certifications, and appeals.
  • Coordinate with the Business Office, Financial Aid, and Academic Advising to support veteran students’ success.
  • Monitor and report changes in student enrollment status to the Department of Veterans Affairs in a timely manner.
  • Assist student veterans and military-connected students in understanding their benefits and academic standing.
  • Maintain compliance with all VA regulations and reporting requirements.
  • Serve as the designated School Certifying Officer (SCO) for Pacific Union College, ensuring accurate certification of enrollment for students using VA education benefits.
  • Evaluate transcripts from other institutions for transfer credit and articulation.
  • Assist in maintaining the accuracy of student academic records in the student information system (Colleague/PowerCampus or similar).
  • Contribute to FERPA compliance, academic policy enforcement, and catalog updates.
  • Generate institutional data reports and support enrollment audits and retention tracking.
  • Participate in registration and add/drop processes, academic calendar planning, and record archiving.
NAIA Liaison
  • Serve as the institutional liaison to the National Association of Intercollegiate Athletics (NAIA).
  • Collaborate with the Athletics Department to verify student-athlete academic eligibility according to NAIA and institutional standards.

Veteran Affairs School Certifying Officer

Desirable Qualifications

Required
  • Minimum 2–3 years of experience in a registrar's office, academic administration, or related field
  • Strong analytical and organizational skills with attention to detail
  • Ability to interpret academic policies and graduation requirements
  • Excellent written and verbal communication skills
  • High proficiency with databases and office software (e.g., Excel, SIS platforms)
  • Experience with NAIA eligibility or athletic compliance
  • Familiarity with Colleague or other higher education student information systems
  • Understanding of FERPA regulations and best practices in records management
  • Demonstrated commitment to the mission and values of a Christian liberal arts college

Compensation

Hourly; $17.69 to $21.30 (plus denominational benefits, depending upon qualifications and experience)
