Handles a wide range of administrative and executive support related tasks, working independently with little or no supervision; must be well organized, flexible, and enjoy the challenge of supporting diverse programs and services; interacts with prospective students and their families, faculty and staff, constituents and community members; handles confidential information in a professional and discreet manner. Provides administrative support for Associate Vice President; processes bills, answers the phones, screening calls and routes to proper offices; handles electronic communications; purchases and maintains office supplies; supervises office student employees; serves on committees as assigned, either as theAVP’s representative or as recorder. Delivers effective personalized customer service to prospective students, their families and all external and internal people contacting Enrollment, Marketing and Communication.

Essential Functions: 

  • Provide secretarial support: welcome visitors; answer phones; schedule appointments; make travel arrangements for Associate Vice President if needed; sort department mail; manage spam sales calls; support visit coordinator as needed; and purchase office supplies.
  • Assist the VP in financial issues: process invoices; manage credit card reports, expense reports, and purchase requisitions; assist in overseeing department budget.
  • Manage the email address: facilitate sending marketing and enrollment information to the campus community.
  • Manage hospitality: send flowers and special notices following established protocols.
  • Supervise student labor: manage student workers as assigned.
  • Take minutes: record meeting notes and communicate action items to team members.
  • Marketing Liaison: Communicate with internal clients on job status.

Supervisory Responsibilities: 

Provide leadership/oversight of student workers

Desirable Qualifications:

Bachelor's degree and experience in higher education is preferred.
