Duties

  • Management of PUC faculty/staff housing, including housing waitlist management and housing placement. Set up and terminate payroll deductions in Colleague for rent, rent subsidy, utilities, and security deposit. Communicate rent and utilities payment and billing changes to Accounts Payable and Accounts Receivable. Facilitate housing issue resolution. Audit various processes. 
  • Create a positive climate and drive efforts to enhance employee housing satisfaction.
  • Work with Student Life regarding student tenant placement in student family housing. Collect rents and prepare receipts. Update on a daily basis all rents, deposits, and application fees received from tenants. Issue appropriate notices when necessary (e.g., late payment, eviction notices, returned checks, memos). Manage student tenant accounts receivable and collections and propose write offs to CFO.
  • Accept service requests from tenants and route to maintenance for prompt processing. Conduct service follow-up with tenants when job is complete.
  • Process and monitor move-in and move-out for all tenants and work with PUC Administration and Student Life regarding lease termination. Inspect for damages upon move-out and submit damage reports with costs to Accounts Receivable for deduction of these damages from tenant’s security deposit.
  • Maintain accurate tenant records. Update reports concerning notices to vacate, vacancy reports, activity reports, etc. and provide information to CFO. Organize and file all applicable reports, leases, and paperwork.
  • Receive, log, and properly code all invoices and review with CFO for approval.
  • Report all liability and community incidents to the CFO immediately.
  • Maintain awareness of local market conditions/trends, local/county guidelines, and basic legal requirements for leases.
  • Coordinate moving arrangements for incoming faculty/staff and retiring employees. Process moving expense reimbursement requests.
  • Monitor commercial leases to ensure that leases are current and that rent and utilities charges conform to the lease.
