Reporting to the Academic Dean and the Associate Academic Dean, the Executive Assistant for Academic Administration is responsible for providing support to the deans while functioning with a high degree of autonomy. The position requires balancing multiple, often simultaneous, activities and the ability to prioritize work to ensure that tasks are completed on time. Requires a high level of professionalism, responsibility, ability to maintain confidentiality, and strong interpersonal and written communication skills.

Duties include: 

(1) Collaborates with Human Resources, IR, and Records Office to process and track faculty information: faculty lists, transcripts, faculty loads, faculty contracts, and distribution of the Adjunct Faculty Handbook; 

(2) Manages surveys: (quarterly) student course and (annual) academic advising surveys;

(3) Organizes orientations: coordinates the academic portion of academic orientations;

(4) Tracks preprofessional schools requirements: organizing pre-professional meetings with advisors, medical, dental, and pharmacy schools, and facilitates corresponding recommendations; 

(5) Paperwork: collects course syllabi, processes Academic Senate materials, student course overload requests, off-campus activity requests, FERPA waivers, and updates information on the Academic Administration web page (including the Dean’s List) and Academic Administration course on Canvas;

(6) Helps to facilitate senior class officer elections and assist with graduation ceremonies;

(7) Works with the deans to schedule and maintain their daily calendars.
