Job Description: Manage a global portfolio of over 35 properties and additional licensed venues. Work with Director of Real Estate, in the preparation of Long-Term programs by continually seeking creative methods to increase the portfolio operating efficiencies, decrease operating costs, and provide an enhanced real estate environment. Role is highly complex as it involves heavy use of soft skills and technical details in legal processes and critical strategies. Ability to manage multiple projects and coordinate with internal team members, consultants, vendors, and external stakeholders at the highest levels. Experience in leading complex negotiations, including economic development incentives, contract formation and contract negotiations. Demonstrated understanding of accounting processes, procedures and internal controls and elements of real estate legal documents. Skills and Requirements: Portfolio Management & Lease Administrator Functions: Leading development and implementation of real estate strategy and programs. Lead real estate lease transaction activities. Oversee lease negotiations and coordinate with legal counsel and brokers to finalize lease activities including new lease agreements, renewals and terminations. Manage both short and long term real estate occupancy solutions Role may require candidate to oversee and monitor the full range of construction project management activities with 3rd party providers and general contractors. Developing and maintaining relationships with internal decision makers and leading collaboration efforts with business units. Supports development of policies and procedures for company real estate transaction standards, financial parameters, and strategic objectives to ensure business operations and staff are fully supported Provide monthly reports highlighting key planning metrics and status of transaction and program initiatives. Develop business cases and economic analyses to evaluate lease and planning alternatives and support recommendations. Negotiates early terminations of leases. Provides lease analysis for client's review and approval. Documents settlement of and notifies affected parties. Landlord/Property Management Liaison: Provide single point of contact (SPOC) for all SVB staff located throughout the portfolio with regards to landlord and/or property management staff. Place all requests for base building services with the landlord and/or property manager and follow up on the same once work is completed. Advise Director of Real Estate of any ongoing issues with the space, landlord services, and SVB service end users. Provide reporting of all base building activities throughout the portfolio. Perform role as a subject matter expert on all property leases. Site Selection: Performing analytics and conducting market research on targeted states and cities (in the US), new countries and sites. Drafting executive proposals on new site acquisitions, lease executions, portfolio status and strategy. Lease Administration: Gather and synthesize data from various systems in HR, Finance, and other departments and build data models for variety of business and real estate related decisions. Develop standardized lease administration policies and procedures focusing on review and processing of financial obligations, reconciliations, and audits. Prepare and review monthly and quarterly lease transaction schedules with Accounting; assist with review of lease terms and liaise with Corporate Legal to prepare comments Assist in the resolution of day to day issues and questions from landlords, AP/AR, business units, Account Managers, Controllers, Design & Delivery, Operations, and other stakeholders. Identify, track down & resolve data quality issues; create process improvement plans for data systems and reports. Create presentations for illustrating current facility status and projected future plans; create short and long term occupancy scenarios. Assist in the management of lease transactions and executed lease documents; manage key lease provisions/critical dates. Must we willing and able to work flexible hours and travel domestically and internationally as needed (Estimated travel approx. 40% of the time). Technical Skills: Working knowledge or planning methodology, program/project management processes and real estate lease transaction/administration practices. Familiarity with finance (accounting) and economic (including cash flow analysis) principals related to capital planning and real estate finance. Proficiency with Microsoft Office Suite tools as well as accounting, lease administration and/or facility/property management systems and reporting. Subject matter knowledge in real estate law, contract law and commercial leasing. Prior experience in deal structuring, drafting and negotiating. Ability to work effectively with outside law firms, brokerage firms and real property companies. Knowledge and experience in program/project techniques in the real estate and construction practices. Ability to manage multiple projects and coordinate with internal team members, consultants, vendors, and external stakeholders. Experience in leading complex negotiations, including economic development incentives, contract formation and contract negotiations. Workplace Strategy Implementation experiences a definite plus. Demonstrated understanding of accounting processes, procedures and internal controls and elements of real estate legal documents. Bachelor's degree in Arts or Sciences or Business or technical discipline. Additional certifications of value for this role: - CoreNet MCR or MCRw - PMI Certificate in Construction Project Management - IFMA CFM Certificate - Real Estate Broker's license a plus, but not required. - Microsoft Visio, Word, Excel & PowerPoint - CAFM and WMIS Systems - AutoCAD - 5 years of office space site selection experience - 6 years lease execution experience - 8 years portfolio management experience - 3 years Construction Project management experience Experience with corporate communications and public relations strategies a plus.
