Phonemail Instructions

An electronic voice messaging system integrated with the phone system provides you with a personal mailbox which allows you to create your own personal greeting and to listen to, save, forward, record, and deliver messages 24 hours a day from your touchtone telephone. The system has an instruction menu, which tells how to use the features. It also repeats the instructions following a brief pause. To access any option, just follow the prompts. If you know what option you want next, you may override the system by pressing the number of the option you want. When you have phonemail messages, you will hear a broken dial tone.

HELPFUL HINTS:

  • Press * to stop listening to a message at any time.
  • Press *2 to skip a message and leave it new.
  • When you get someone's greeting, press 1 to skip the greeting and go straight to the beep!
  • Broken Dial Tone indicates that you have messages in your Phone Mail box.

ACCESSING THE PHONEMAIL SYSTEM:

Dial the phonemail single access number 7185.
Press the # sign or enter your extension and then press the # sign again.
Enter your password then press the # sign.

IF ACCESSING THE MAILBOX DENIED:

When attempting to gain access to your mailbox, you hear the following message, "This mailbox is protected. Please call your system administrator", you will need to contact Telecommunications at 7000 to have your phonemail reset. (entering an incorrect password more than 5 times will "lock"-"protect" a mailbox)

THE FOLLOWING ARE SOME OF THE FEATURES YOU CAN USE IN THE PHONEMAIL SYSTEM:

TO CHANGE YOUR PERSONAL GREETING (what people will hear when they call you):

  1. Access your phonemail
  2. Press 8 for ANSWERING OPTIONS
  3. Press 1 to change your greeting
  4. Press 1 to change your regular greeting
  5. Press 1 to change your external greeting (for off-campus calls) OR Press 2 to change your internal greeting (for on-campus calls)
  6. Press 1 to record greeting (follow the spoken directions for stopping record and re-record if necessary)

SAMPLE INTERNAL GREETING:

Hello, you have reached extension________. We are not available now, so please leave a message after the tone. We will return your call as soon as possible. If this is an emergency, please hang up and dial 965-7111. Thank you for calling.

TO LISTEN TO YOUR MESSAGES:

  1. Access your phonemail
  2. Press 3 to listen to your messages
  3. Before the message is over, press *2 to stop listening to it and skip it so it stays new
  4. After the message is over press 2 to skip it, 6 to delete it, 4 to save it, or 7 to repeat it (you can forward a message to another extension after deleting or saving it)
  5. Press # to continue to the next message when you're finished with the current message

Note: Broken Dial Tone indicates that you have messages in your Phone Mail box.

Additional controls when listening to your messages:

  1. Press 3 to override message header (which extension it is from and the time)
  2. Press *78 to reverse message eight seconds (and replay)
  3. Press *98 to forward message eight seconds
  4. Press *6 to stop message and delete it
  5. Press *4 to stop message and save it
  6. Press 9 to speed up message
  7. Press 7 to slow down message

TO LEAVE A MESSAGE FOR SOMEONE ELSE (without calling first):

  1. Access your phonemail
  2. Press 1 to leave a message
  3. Record your message
  4. When you finish your message press *, then press #
  5. Dial the extension the message is for
  6. Press #, Press #, Press # for regular delivery (this will send the message as soon as you hang up)

Additional controls when recording a message:

  • Press 1 to go directly to tone
  • Press *61 to delete and start over
  • Press *73 to stop and replay

TO CHANGE YOUR PASSWORD:

  1. Access your phonemail
  2. Press 9 for MAILBOX OPTIONS
  3. Press 3 to change your password
  4. Enter the new password you want (6 digits minimum)
  5. Press #

NOTE: To ensure your privacy, it is strongly recommended that you change your password from the default, to a number of your own choosing. (6 digits minimum)
